Festival Vendor Village Console

Every vendor space with documents, power and estimated waits, order-ahead for attendees, and commission settled from actual orders.

Overview

At a festival or a large conference, the food and merchandise village is a small marketplace that exists for a few days. Organizers need to know which vendors are cleared to trade, which permits or insurance certificates are about to lapse, how much power each space draws and where queues are building, all while thousands of attendees move between stages. Commission is often reconciled afterwards from takings the vendors report. This concept shows how Kadaikodi could run the village as one console for the organizer and one order-ahead experience for attendees.

The desktop illustration places a Vendor Village page for a sample evening event in Kadaikodi's platform admin, badged Live, Day 2 and tagged as a cashless village. Four tiles report vendors live out of the total, orders in the last 30 minutes, average collection wait and commission to date. An active order shows where to collect it and that it is being prepared.

EventfullyManaged is designed to supply the event's layout and headcount: space numbers and power come from its floor plan, and the on-site count behind the rush warning comes from its check-ins. Vendors are designed to be onboarded and verified as Kadaikodi merchants, with expiry dates on their documents, before a storefront opens. In a cashless village, the design has walk-up sales rung through Kadaikodi orders too, so a Monday settlement panel counts the orders and takes commission from the order record, with a Preview statements action, rather than from vendor declarations.

How it works

  1. Vendors are onboarded and verified as merchants, with permit and insurance expiry dates, before their storefronts open.
  2. Space numbers and power are read from the EventfullyManaged floor plan into the Vendor spaces table.
  3. During the event, the organizer watches orders, estimated waits and document status for every space.
  4. Ahead of a changeover, the rush forecast uses EventfullyManaged check-ins to warn of the coming peak.
  5. The organizer promotes pre-orders at vendors with short waits, and attendees order ahead on their phones.
  6. Attendees collect their order at the space named on their order card.
  7. After the event, commission is settled from the order record and statements are previewed before they go out.

Attendee Order-Ahead With Ready Times by Space

Attendees see nearby vendors, their space and ready time, and order ahead before the changeover rush.
